Hello GMs!
This newsletter will have some policy reminders and space-specific guidelines as we hit the two-week (!) mark from Intercon X.
Handling Drops
Having players drop out at the last minute is frustrating for everyone. If a player lets you know they won't be attending, please ask them to withdraw on the website. This will allow the next player on the waitlist to be marked as getting in or, if there is no waitlist, it will show as open for attendees to sign up on the website and the digital sign at Ops.
To recruit replacements, there are a number of things you can do.
Keep in mind that to fill a spot, they need to sign up on the website. If you can run without filling vacancies, you are welcome to do so. Per policy, if a player is more than 10 minutes late, you as the GM have the option to give that space to the next on the wait list.
Setup and Cleanup Time
Remember that the time between larps is shared! Your setup time is also someone else's cleanup time, and vice-versa. Feel free to discuss with the other organizers of games adjoining yours if you think you might need more than half of that period for either setup or cleanup, or if you're just concerned about getting in one another's way. To more easily see what else is in the room, you can pull up the Intercon schedule and change it to “grid view by room.”
Air Purifiers
Intercon has purchased air purifiers that will be set up in the smaller event rooms. These are much quieter than last year's -- please do not turn them off.
Text Notifications
During the convention, the website can send you text messages to let you know if someone has dropped or signed up for your larp. This is recommended so you are quickly informed and can take any necessary action, such as sending larp information or recruiting a replacement.
To enable this, go into your profile. Enter your cell number, and select to receive texts, finally finish at bottom. The text message feature will be turned on just before the convention, and off afterwards.
Lighting in Bristol and Plaza Rooms
The Bristol and Plaza rooms have slightly less intuitive lighting controls.
In the Bristol rooms, there's two sets of lightswitches, one by the doors you enter from, and one on the far wall. The switches in the far wall control the lighting for just that section of the room, while the switches by the door will adjust the lighting in both parts. Ie, don't use the ones by the door. There will be a sign on the switches near the entrances reminding you not to use them.
The Plaza rooms should already be set correctly and you can use the switches in the room. If you find an issue, please contact Ops or the hotel liaison.
Boardrooms and Parlors
If your larp is running in a parlor or boardroom, please keep in mind the key procedure. They will probably be locked when you get there, especially if your larp is the first of the day. You can pick up the key card from Ops, but please be sure to return it as the next larp will likely want to pick it up. If your larp starts at 9AM, you may be able to pick it up at the end of the night before. If your larp is running to midnight or later, please return to Ops before midnight so our generous volunteers don't have to stay over. (You could for instance ask a player to run it down while you finish setup.)
Elms is on the 3rd floor, Wellington on the 6th, both near the elevators. Parlor A is Room 607, B Room 623, C Room 632, and D Room 637. The parlors are on a guest room floor, with people sleeping in the rooms around them. Especially for larps running after 10PM, please monitor that your larp does not get too loud. We've arranged so that the two connecting rooms on each side are occupied by con attendees to help minimize complaints, but sound can easily travel down and across the hallway. Noise complaints reflect poorly on the convention, so please take care.
If you move any of the default furniture in these rooms, please return them to its normal state when you are finished.
